Note: Successful login will take you directly to the main "Patients" list in the extension.
3. Managing Patients
To generate reports, you first need to assign the session to a patient.
Adding a New Patient
If you are seeing a new client, you can add them directly through the extension:
- From the main page, click Add Patient (or the + New button).
- Fill in the patient details. Only the Full Name is required. Additional optional information includes:
- Date of Birth (optional)
- Sex at Birth / Gender Identity (optional)
- Tags (optional - e.g., "Child ADHD," "Adult ADHD") to help categorize the patient.
- Click Create Patient to save their profile.
Once created, you will be directed to the patient's dashboard where you can manage their files and sessions.
4. Capturing Sessions
You can capture clinical data in three ways:
- By uploading existing files
- By recording live virtual sessions
- By importing notes directly from Salesforce
You can use any combination of these methods together to build a complete patient record.
Recording a Virtual Session
This feature allows you to record audio from video conferencing tools (like Google Meet) directly into the patient's record.
- Navigate to the specific patient's profile.
- Click the blue Record Virtual Consultation button.
- Permissions: Your browser will request microphone access. You must click Allow for the recording to work.
- The recording will begin immediately. You can close the side panel during the call; the recording will continue in the background.
- When finished, stop the recording. The audio and a searchable transcript will appear in the Interviews tab.
Starting a virtual recording:
1Click "Record Virtual Consultation"
Find the blue button on the patient's profile page. The dropdown arrow lets you choose between virtual and in-person recording modes.
Choose what to share with Cerebric
The site will be able to see the contents of your screen
2Select the tab to share
Your browser will show a dialog asking which tab to share. Select the tab running your video call (e.g. Google Meet) and make sure "Also share tab audio" is toggled on, then click Share.
How to check you're sharing the right tab
After you start sharing, your browser will display a bar at the top of the tab. This bar tells you whether you are sharing the correct tab or not.
Correct — you're sharing this tab
If the bar says "Sharing this tab to", you're all set. Cerebric is capturing audio from the tab you're looking at.
Wrong tab — sharing a different tab
If the bar shows a different site name, you're on a different tab than the one being shared. Simply click "Share this tab instead" to switch to the correct tab without restarting your recording.
If the shared tab is silent for more than a minute, the extension will also show a warning in the side panel to let you know:
No audio detected from shared tab
The shared tab has been silent for at least 60 seconds. Have you selected the tab where your telehealth consultation is taking place?
If you see this warning, check the sharing bar at the top of your browser and make sure you're sharing the tab where your video call is happening.
Uploading Files
If you have past reports or collateral information:
- Go to the Files tab in the patient's profile.
- Click to upload or drag and drop files (PDF, DOCX, etc.). These files help provide context for the AI reports.

Importing Notes from Salesforce
If you take notes directly in Salesforce during a consultation, you can import them into Cerebric so they can be used as contextual information when generating reports.
- Navigate to the Notes tab within the patient's profile in the extension.
- Click the Import from Salesforce button at the top of the notes panel.
- The extension will read the notes from your open Salesforce page and pull them into Cerebric automatically.
- Once imported, these notes will appear in the notes list and will be available as context for generating AI reports.

Tip: Make sure Salesforce is open in the main browser window before clicking Import from Salesforce. The extension reads the content from the active page, so the relevant patient record should be visible.
Troubleshooting: If the Import from Salesforce button isn't becoming active, try refreshing your Salesforce page in the browser, then try again.
5. Generating AI Reports
Once you have recorded an interview or uploaded notes, you can generate a clinical report.
- Navigate to the Reports tab within the patient's profile.
- Click + New Report (or "Select Report").
- Choose the appropriate template for your session.
- The system will process the interviews and notes to generate the report. This usually takes just a moment.
6. EHR Injection
The final step is moving your generated data into your Electronic Health Record (EHR) system.
- Ensure you are on the Generated Reports page within the extension.
- Open your EHR system in the main browser window.
- Click the Cerebric button in the top-right corner of each EHR text field to inject the corresponding section from your generated report.
4.1. Presenting difficulties
The Cerebric inject button appears in each text field of your EHR. Click it to auto-fill that section from your report.
Troubleshooting: If the Cerebric inject buttons aren't appearing in your EHR text fields, try refreshing your EHR page in the browser. The extension needs the page to be fully loaded to detect the input fields.
Frequently Asked Questions
Which browsers are supported?
The Cerebric extension works on both Google Chrome and Microsoft Edge. Simply install it from the respective browser store.
Why does the extension need microphone permissions?
Microphone access is essential for recording virtual sessions. Without this permission, the extension cannot capture audio from your clinical calls. You can grant or revoke this permission at any time through your browser settings.
Can I record sessions while the side panel is closed?
Yes! Once you start a recording, you can close the extension side panel and the recording will continue in the background. Simply reopen the panel when you're ready to stop the recording.
What file formats can I upload?
You can upload various file types including PDF, DOCX, and other common document formats. These files provide additional context for the AI when generating reports.
How do I know if my recording is working?
Look at the Cerebric extension icon in your browser toolbar. While a recording is active, the icon will display a small red REC badge:
If you see the REC badge, your session is being captured. If you don't see it, check that you've granted microphone permissions and that you've started the recording from the patient's profile.
Where do my recordings get stored?
All recordings and transcripts are securely stored in your patient's profile under the Interviews tab. They remain accessible for future reference and report generation.
Can I use the extension on multiple devices?
Yes! Simply install the extension on each device and sign in with your organization credentials. Your patient data and reports will sync across all devices.
What if I encounter permission errors?
If you see permission errors, check your browser settings to ensure the extension has been granted the necessary permissions (microphone access, storage, etc.). You may need to refresh your browser after granting permissions.
Need Help?
If you have questions or need assistance:
- Click on the dropdown menu in the extension and select Help & Support for quick access to resources and troubleshooting.
